About KASAP

The Kentucky Association of Sexual Assault Programs, Inc. (KASAP) is the statewide coalition of the 13 rape crisis centers in the Commonwealth. The mission of KASAP is to speak with a unified voice against sexual victimization. As a coalition, KASAP provides technical assistance to member programs and professionals; advocates for improvements in public policy; fosters coalition building among members, organizations, and individuals committed to ending sexual violence; promotes prevention and public awareness regarding sexual assault and related issues; and maintains resources for sexual assault program staff and the public. KASAP does not provide direct services to survivors of sexual violence.

Position Summary

The Administrative Coordinator supports KASAP’s mission by overseeing office systems and day-to-day operations of the Frankfort office. This role provides administrative, financial, and logistical support to KASAP’s executive leadership, Board of Directors, and staff, helping ensure the coalition runs smoothly and efficiently. 

Core Responsibilities
Office Support 
  • In collaboration with KASAP’s executive leadership, support the overall function of the Frankfort office. 
  • Answer phones during KASAP business hours. 
  • Pick up and distribute mail. 
  • Purchase office supplies and maintain a purchase order system. 
  • Research vendors to secure the best pricing on office needs. 
  • Manage KASAP’s Microsoft environment and other online platforms. 
  • Coordinate with KASAP’s IT vendor to help ensure the security and performance of office software and hardware. 
  • Coordinate facility maintenance needs (e.g., plumbing, HVAC, phone systems). 
  • Track and tag KASAP inventory. 
  • Provide additional accounting and HR support as needed to support the Chief Financial Officer. 
  • Other tasks as assigned by CFO or CEO.
Finance Department Support 
  • Log and copy incoming checks. 
  • Scan invoices and checks for the Chief Financial Officer. 
  • Process vendor checks and payments. 
  • File paid invoices. 
Executive Team and Board Support 
  • Coordinate logistics for Board meetings. 
  • Send meeting reminders; edit and distribute meeting materials. 
  • Engage in tasks related to donor and funder procurement and communication at the direction of the CEO. 
Event Planning & Logistics 
  • Assist with logistics for KASAP’s annual conference and other statewide events, including venue coordination, registration, and materials. 
  • Coordinate logistics for internal staff meetings, trainings, and Board retreats. 
Communications 
  • Update internal documents, the policy and procedures manual, and internal reports to ensure alignment with KASAP branding. 
  • Support Communications Director by assisting with website, social media, and other communication. 
Organization & Multitasking 
  • Manage multiple administrative and financial tasks simultaneously, meets deadlines, and maintains accurate systems and records. 
Collaboration & Relationship-Building 
  • Build effective working relationships with KASAP staff, executive leadership, the Board of Directors, and outside vendors. 
Communication & Professionalism 
  • Communicates clearly, verbally and in writing; represents the organization professionally in all interactions. 
  • Maintain confidentiality of sensitive organizational, financial, and personnel information. 
Technology Proficiency 
  • Apply strong working knowledge of office software and platforms to support daily operations. 
Resourcefulness & Independence 
  • Work independently within a flexible structure, exercising sound judgment and problem-solving. 
    Required Qualifications 
    • Minimum of four years’ experience doing relevant work in an office setting. 
    • Proficiency with technology and platforms required for the functions of the position. 
    • Strong collaboration and relationship-building skills. 
    • Excellent written and verbal communication skills. 
    • Ability to represent the coalition professionally and maintain confidentiality. 
    • Ability to work independently within a flexible structure. 
    • Valid driver’s license and ability to travel, including some overnight travel. 
    Preferred Qualifications 
    • Bachelor’s degree from an accredited institution. 
    • Experience working in a non-profit organization. 
    Working Conditions & Travel 
    • This is a full-time, salaried position (40 hours/week). 
    • This position is based in KASAP’s Frankfort office; a hybrid schedule is negotiable depending on organizational needs. 
    • Some in-state travel may be required to support KASAP meetings, trainings, and conferences. 
    • Occasional evening or weekend hours may be required to support Board meetings or special events. 
    • Must have reliable transportation.
